How the calendar integration works

When you connect Google Calendar, your appointment-booking Blue gains the ability to:

  • Check your real-time availability before offering time slots to callers
  • Book appointments directly into your calendar during the call
  • Send confirmation events to the caller's email if provided

The integration uses OAuth 2.0 — BlueSales never stores your Google password and access can be revoked at any time.

Step 1 — Connect your Google Calendar

  1. Go to Dashboard → Integrations (or open your Blue's settings and find the Calendar section).
  2. Click Connect Google Calendar.
  3. You will be redirected to Google's sign-in page. Sign in with the Google account that owns the calendar you want to use.
  4. Review the permissions BlueSales is requesting:
    • Read your calendar events (to check availability)
    • Create and edit events (to book appointments)
  5. Click Allow. You will be redirected back to BlueSales automatically.

Once connected, your calendar will appear under Calendar Connections with a green status indicator.

Step 2 — Select which calendar to use

If your Google account has multiple calendars (e.g. personal, work, shared team calendar), you can choose which one BlueSales reads and writes to.

  1. Under Calendar Connections, click Configure next to your connected Google account.
  2. Select the target calendar from the dropdown.
  3. Optionally set your booking buffer (minimum gap between appointments, e.g. 15 minutes).
  4. Save.

Step 3 — Attach the calendar to your Blue

  1. Open the Blue you want to use for appointment booking (or create one — choose the Appointment Booking role under Outbound).
  2. In the Blue's settings, find Calendar Connection and select the calendar you just connected.
  3. Set your available hours — these are the windows the Blue will offer to callers (e.g. Mon–Fri, 9 AM–5 PM).
  4. Save the Blue.

How appointments appear in Google Calendar

When the Blue books an appointment, a new event is created in your selected calendar with:

  • The caller's name and phone number in the event title
  • Call notes or the purpose stated by the caller in the description
  • A duration matching your configured default appointment length

You will receive a standard Google Calendar notification for the event based on your existing notification settings.

Revoking access

To disconnect BlueSales from your Google Calendar:

  1. Go to Dashboard → Integrations → Calendar Connections.
  2. Click Disconnect next to the Google account.

You can also revoke access directly from your Google Account permissions page. Any Blues using that calendar connection will pause booking until a new connection is made.

Common issues

The Blue is offering times that conflict with existing events

Make sure the correct calendar is selected under your connection's configuration. If you use multiple calendars, events on unchecked calendars won't block availability. Consider using Google Calendar's "View other calendars" to consolidate into one.

I reconnected but the Blue still says calendar not connected

After reconnecting, re-open the Blue's settings and re-select the calendar connection — the old connection reference may have been invalidated.

Google is showing BlueSales as an unverified app

This is a standard Google warning for OAuth apps. The permissions requested are limited to calendar read/write only. Click Advanced → Go to BlueSales to proceed.
