Before you begin

A Blue is your AI voice calling agent. Before it can make or receive calls, you need a few things in place:

  • A verified BlueSales account
  • A provisioned phone number (or your own Twilio number imported)
  • Optionally: a business profile and a knowledge base (Brain)

This guide walks you through creating both an inbound and an outbound Blue from scratch.

Step 1 — Set up your Business Profile

Every Blue is anchored to a business profile so your agent knows who it represents.

  1. Go to Dashboard → Business Settings.
  2. Fill in your business name, industry, website, and a short description of what you do.
  3. Click Save. This profile will be available to all Blues you create.

Tip: The more detail you add here, the more accurately your agent will represent your brand during calls.

Step 2 — Get a phone number

Blues need a dedicated phone number to call from or receive calls on.

  1. Go to Dashboard → Phone Numbers.
  2. Click Get a new number and search by area code or region.
  3. Select a number and confirm — it will be provisioned to your account instantly.

Alternatively, if you already have a Twilio number, click Import your own number and follow the prompts to connect it.

Step 3 — Create a Brain (optional but recommended)

A Brain is a knowledge base your Blue can reference during conversations — FAQs, product details, pricing, policies, etc.

  1. Go to Dashboard → Brains and click New Brain.
  2. Give it a name, then upload documents (PDF, DOCX, TXT) or paste text directly.
  3. Click Process — BlueSales will index the content for your agent to query in real time.

You can attach one Brain per Blue, and the same Brain can be shared across multiple Blues.

Step 4 — Create your Blue

  1. From the Dashboard → Blues page, click Create Blue.
  2. Choose a type:
    • Inbound — answers incoming calls (receptionist, front desk, hotline, concierge)
    • Outbound — places calls autonomously (appointment booking, sales campaigns)
  3. Pick a role that matches your use case, then work through the setup wizard:

Wizard Step A — Business Profile

Select the business profile you created in Step 1, or create a new one inline.

Wizard Step B — Brain

Attach a Brain if you want your agent to pull from your knowledge base during calls. You can skip this and add it later.

Wizard Step C — Voice

Choose from available AI voices. You can preview each voice before selecting. Pick one that fits your brand tone.

Wizard Step D — Phone Number

Assign the phone number you provisioned in Step 2. An inbound Blue will receive calls on this number; an outbound Blue will call from it.

Wizard Step E — Schedule (Outbound only)

Set the calling window — days and hours the agent is allowed to dial out. Always align this with your local compliance requirements (see TCPA compliance basics).

Step 5 — Test your Blue

Once created, your Blue is live immediately.

  • Inbound: Call the assigned phone number from your mobile to hear your agent answer.
  • Outbound: Go to Dashboard → OwnedBlues, open your Blue, and trigger a test call to your own number.

Listen to the recording, check the call log, and adjust the business profile or Brain content if the agent's answers need refining.

Step 6 — Monitor performance

All call activity is logged under Dashboard → OwnedBlues → [Your Blue]. You can review:

  • Call recordings and transcripts
  • Lead outcomes (for outbound Blues)
  • Usage toward your plan's call minute limits

Common issues

My agent doesn't answer calls

Check that the phone number is assigned to the Blue and that the Blue is set to Active. Also confirm the number is fully provisioned under Phone Numbers — it can take up to 60 seconds after purchase.

The agent doesn't know the answer to something

Add or update the content in your attached Brain. Re-process the Brain after making changes so the index is current.

I'm getting a "no phone number available" error during setup

You may need to purchase a number first, or your plan limit may have been reached. Check Dashboard → Phone Numbers and your plan under Billing.
